An awards night is one of the most high-profile events an organisation runs. The room is full, the stakes are high, and everything needs to run on time. The AV is central to how the evening feels — from the moment guests arrive to the final award presentation.

Here’s what to get right if you’re planning an awards night in Northern Ireland.

Audio — the most critical element

More than any other type of corporate event, an awards night depends on clear, consistent audio. The MC needs to be heard clearly by every person in the room. Award presenters and winners — many of whom will be nervous and unfamiliar with microphones — need to sound professional without any effort on their part.

Common audio problems at awards nights in Belfast and across Northern Ireland:

• Feedback when winners approach the microphone — usually caused by a fixed lectern mic that hasn’t been properly positioned or gain-staged
• Inconsistent levels between speakers — the MC sounds great, the first presenter sounds quiet, the next is too loud
• Dead spots in the room — areas where the audio is significantly quieter, often in corners or at tables near walls
• Noise from the room itself — background chatter, kitchen noise, HVAC systems — all of which need to be managed

A well-designed PA system with an experienced engineer on the desk throughout the evening is the solution to all of these. This is not the event to cut corners on audio.

The MC microphone setup

The MC is on stage for most of the evening and needs to be mobile. A quality over-ear headset microphone is usually the best solution — it’s consistent regardless of where they position their head, it’s discreet, and it frees their hands for scripts and props.

For award presenters coming from the audience, a confident roaming mic handoff with a brief pre-event briefing on technique goes a long way. We always brief speakers and presenters before the doors open.

Video and presentation

Most awards nights in Belfast use screens for a combination of:

• Award category graphics and branding
• Video tributes or promotional content
• Live camera feed of the stage — particularly useful in larger rooms where guests at the back can’t see the stage clearly
• Finalist name slides during each category presentation

The key is ensuring the visual presentation looks polished and runs to time. A video engineer managing the presentation and camera feed separately from the audio engineer means each can focus on their element without compromise.

Timing and run-of-show

Awards nights run to a tight schedule — usually around a dinner service, with awards presentations fitted between courses. The AV needs to flex around that schedule, which means the engineer needs a detailed run-of-show document in advance and a clear communication channel with the host and venue on the night.

We request a full run-of-show at least a week before every awards night we work on. The more information we have in advance, the smoother the evening runs.

The pre-event setup and soundcheck

An awards night needs a proper setup and soundcheck — not a 10-minute check half an hour before doors open. Ideally, we’re on-site several hours before guests arrive, with all equipment in place, all microphones tested, all video content checked, and all levels set.

The soundcheck with the MC is particularly important. It’s also the opportunity to brief any award presenters on microphone technique, where to stand, and what to expect.
